Prime Pharmacy Group is one of Ghana's leading pharmaceutical retailers, providing quality medicines and healthcare products through a growing network of branches.


Operating in the highly regulated pharmaceutical industry requires precise inventory control, accurate financial management, and complete product traceability. Today, the organization manages over 20,000 pharmaceutical products across seven branches, with approximately 65 users relying on ERPNext to support daily operations.


Every day, the business processes hundreds of sales transactions, manages stock movements between branches, and coordinates purchasing activities through a centralized ERP platform that keeps every department connected and informed.



The Challenge

As Prime Pharmacy Group continued to grow, so did the complexity of its operations.

Managing over 20,000 pharmaceutical products across multiple branches had become increasingly difficult. Without a centralized system, purchasing teams struggled to maintain complete visibility into stock levels, while transferring inventory between branches required significant manual coordination.


One of the organization's biggest operational concerns was pharmaceutical batch and expiry management. Monitoring expiry dates and maintaining complete product traceability through manual processes was time-consuming and increased the risk of product losses.


Financial reporting presented another challenge. Management needed a consolidated view of business performance across all branches but often had to wait for reports to be compiled before obtaining meaningful insights.


The existing point-of-sale operations were also not fully integrated with inventory, making it difficult to maintain accurate stock levels in real time.

Prime Pharmacy Group recognized that continued growth required a single, integrated platform capable of connecting every aspect of the business; from purchasing and inventory to finance and sales.


The Turning Point

Prime Pharmacy Group partnered with Powersoft System to modernize its operations with a solution that could support both its current needs and future growth.


Rather than implementing multiple standalone systems, Powersoft recommended ERPNext as a unified business platform capable of managing finance, inventory, purchasing, sales, and multi-branch operations within one ecosystem.


Working closely with the Prime Pharmacy team, Powersoft reviewed existing business processes, identified operational bottlenecks, and designed workflows that would improve visibility, accountability, and efficiency throughout the organization.


ERPNext's flexibility, combined with Powersoft's local implementation expertise and ongoing support, gave Prime Pharmacy Group confidence that the solution could meet the specialized requirements of pharmaceutical retail.


The Transformation

The implementation was completed over a period of approximately two to three months using Powersoft's structured implementation methodology.

Training also required a flexible approach. Staff had only three to five days available for sessions. To ensure successful user adoption, Powersoft supplemented onsite training with online learning sessions and continuous hands-on support after go-live, allowing users to build confidence while working in the live system.

This integration enables Prime Pharmacy Group to synchronize online sales activities with its backend operations, improving order management, inventory visibility, and operational efficiency across sales channels.

By connecting eCommerce with ERPNext, Prime Pharmacy Group can manage products, inventory, and sales information from a centralized platform, reducing manual processes and ensuring that online and physical operations remain aligned.



The Results

The implementation transformed the way Prime Pharmacy Group manages its business.

Management now has real-time visibility into operations across all seven branches, enabling faster and more informed decision-making based on accurate, up-to-date information.

Inventory management has improved significantly through centralized stock control, pharmaceutical batch tracking, and expiry management. The integration between the point of sale and inventory ensures that every sale updates stock levels immediately, improving inventory accuracy and reducing discrepancies.


Purchasing and stock disbursement processes have become more efficient, making it easier to maintain product availability while reducing manual coordination between branches.

Financial reporting has also been transformed. Reports that previously required manual preparation are now available instantly, providing management with immediate access to operational and financial insights.


Today, ERPNext supports approximately 65 users across the organization, managing over 20,000 products while processing more than 350 sales invoices every day. The platform also facilitates 30+ daily stock transfers and streamlines purchasing through material requests, purchase orders, goods receipts, and supplier invoicing—all from a single centralized system.
